Privacy Policy

1. Who We Are

Co-parenting Clarity (“we,” “us,” or “our”) is a co-parenting coordination app operated by Nicholas Ramirez, accessible at coparentingclarity.com. Questions about this policy may be directed to info@coparentingclarity.com.

2. Information We Collect

Account & identity information

• Name and email address — collected at registration and used to identify your account.
• Password — stored as a secure hash via Firebase Authentication. We never store plaintext passwords.
• Family code — a unique identifier linking you to your co-parent’s account.

Family & children’s information

Parents and legal guardians enter the following information about their children. Children do not create accounts or interact with the app directly.

• Children’s names, dates of birth, and ages
• School name and grade
• Clothing and shoe sizes
• Medical notes, allergies, and health provider information
• Illness records including symptoms, dates, and medication doses

Co-parenting activity data

• Custody schedule: Placement patterns, transition days, and holiday assignments
• Calendar events: Appointments, activities, and events added by either parent
• Schedule change requests: Swap or change requests, including approval or decline decisions
• Messages: Topic-based conversations between co-parents. Messages are stored permanently and cannot be edited or deleted — this is a deliberate legal documentation feature.
• Documents: Files uploaded to the shared document vault
• Journal entries: Private entries (visible only to you) and shared entries (visible to both parents)
• Contacts: Shared address book entries (doctors, schools, emergency contacts)
• GPS exchange check-ins: Precise GPS coordinates recorded at the moment of a custody exchange. This data is stored permanently as part of your co-parenting record.
• To-do items: Shared task list entries across both households
• Schedule deviations: Logged days where placement differed from the scheduled pattern

Payment information

Subscription billing is processed by Stripe. We do not store your full credit card number, CVV, or billing address on our servers. Stripe handles all payment data in accordance with PCI DSS standards.

Automatically collected information

• Usage events: Feature interactions and activity timestamps used to improve the app
• Device information: Browser type, operating system, and device type
• Push notification tokens: Device tokens for delivering push notifications via Firebase Cloud Messaging
• Log data: IP addresses, error logs, and performance data

Information from connected services

• Google Calendar: If you connect Google Calendar, we receive OAuth access tokens to create and update events on your behalf. We do not read your existing personal calendar data.

3. How We Use Your Information

• Operate and deliver all app features: scheduling, messaging, document storage, health tracking, journals, GPS check-ins, to-do lists, deviation tracking, and court report generation
• Share relevant family data between the two co-parents in a linked family account
• Send push notifications and transactional emails (new requests, approvals, messages, password resets, subscription receipts)
• Process subscription payments via Stripe and send payment confirmations via SendGrid
• Sync calendar events to Google Calendar when connected
• Generate exportable PDF court reports of your co-parenting record on demand
• Maintain the permanent, unalterable record that is a core feature of the service
• Improve app reliability, performance, and features
• Comply with applicable legal obligations

4. Third-Party Services

The following third-party services are used to operate Co-parenting Clarity. Each processes your data in accordance with their own privacy policies, which are linked below.

5. How We Share Your Information

We do not sell, rent, or trade your personal information. Information is shared only as follows:

• Between co-parents: Shared family data (schedules, events, messages, documents, children’s profiles, health records, contacts, GPS check-ins, to-do items, shared journals, and schedule deviations) is visible to both parents in a linked family account. Private journal entries are visible only to the parent who created them.
• Service providers: As listed in Section 4, solely to operate the service.
• Legal requirements: If required by law, court order, or government request, or to protect the rights, safety, or property of Co-parenting Clarity, our users, or the public.
• Business transfers: In the event of a merger or acquisition, your data may transfer with the business. We will notify you at least 30 days in advance.

6. Data Retention

Your account data is retained for as long as your account is active. After cancellation, data is retained for a 30-day grace period. Messages, GPS check-ins, and court-record data are stored permanently while your account is active.

Deleting your account removes your profile, credentials, and private data. Shared family data may be retained for your co-parent’s access until they also request deletion. See Section 8 for deletion procedures.

7. Data Security

• All data is transmitted over HTTPS/TLS encryption
• Firebase Security Rules restrict database access to authenticated members of the linked family account only
• Passwords are hashed — we never store or transmit plaintext passwords
• Payment processing is handled entirely by Stripe (PCI DSS compliant)
• API keys and secrets are stored in Google Cloud Secret Manager

No system is 100% secure. We encourage strong, unique passwords and enabling device-level security (PIN, Face ID) for your account.

8. Children’s Privacy — COPPA Notice

Information about minor children (names, dates of birth, school, health records, etc.) is entered exclusively by their parent or legal guardian. Children do not create accounts and do not directly submit personal information to our service.

We do not knowingly collect personal information directly from children under 13. If you believe a child under 13 has created an account, contact us at info@coparentingclarity.com and we will immediately delete the account.

Parents may review, correct, or request deletion of information entered about their children by contacting us directly.

9. Account & Data Deletion

You may request deletion of your account and personal data at any time using either of these methods:

• In-app: Go to Profile → Account Settings → Delete Account
• By email: Send a deletion request from your registered email address to info@coparentingclarity.com

Deletions are processed within 30 days. Upon deletion, your profile, credentials, and private data are permanently removed. Active subscription billing ceases immediately; no refunds are issued for unused billing periods. Shared family data may be retained for your co-parent until they also request deletion.

10. Your Rights & Choices

• Access: Request a copy of your personal data by emailing us
• Correction: Update your name and email within the app or contact us
• Deletion: See Section 9
• Data export: Use the Court Report Generator to export your full co-parenting record as a PDF at any time
• Push notifications: Disable in your device settings or in the app under Profile → Notifications
• Google Calendar: Disconnect at any time under Profile → Google Calendar → Disconnect

11. Cookies & Tracking

We use only functional session tokens necessary to keep you authenticated. We do not use advertising cookies, tracking pixels, or cross-site analytics. Firebase Authentication may set session cookies as part of standard authentication infrastructure.

12. Changes to This Policy

We may update this policy periodically. Material changes will be communicated by email and in-app notice at least 14 days before taking effect. Continued use of the service after the effective date constitutes acceptance.
